Dear Michael:

Please accept this letter as formal notice of my resignation from my position as Project Manager with Summit Line Builders LLC. My last day of work will be October 26, 2026, which gives the company two weeks’ notice.

Thank you for the opportunities I have had here and for your support. I have valued working with you and the team, and I am grateful for the experience I have gained.

I want to make the transition as smooth as possible. Before I leave, I will bring the schedules and budgets of my open projects up to date, write handover notes on each of them, and introduce whoever takes them over to our clients and subcontractors. I am glad to help with anything else that would make the handover easier during my remaining time.

On or before my last day, I will return all company property in my possession, including my laptop, company phone, office keys and fuel card, together with any company documents and files. I will continue to keep the company’s confidential information confidential after I leave.

Please let me know how and when my final paycheck will be paid, including payment for any accrued, unused paid time off to the extent company policy or state law provides for it. Please send my final pay statement, my Form W-2 and any information about continuing my health coverage to my home address above or by email to jordan.ellis@example.com.

What it's for

A resignation letter puts your decision to leave on record: the date you gave notice, your last day of work and how you will hand over your work. It is addressed to your manager, usually after you have told them in person, and it goes into your personnel file — so it should be brief, positive and free of complaints. Two weeks’ notice is the customary courtesy in the United States, not a legal requirement, unless an employment contract or a policy you agreed to says otherwise.

Most US employment is at will, so either side may end it at any time — which also means your employer may accept your resignation effective immediately. What you are owed when you leave is a matter of state law. Federal law sets no deadline for the final paycheck and does not require payment for unused vacation, but many states do: California, for example, requires the final wages on the last day when the employee gave at least 72 hours’ notice (Cal. Labor Code § 202) and treats earned vacation as wages that must be paid out (§ 227.3). The letter asks for the final pay without asserting rights your state may not give you.

Frequently asked questions

Do I have to give two weeks’ notice?

Not by law if you are an at-will employee, which most US employees are. Montana is the notable exception to at-will employment, and its good-cause rule limits the employer’s right to discharge an employee after a probationary period — it does not require notice from the employee. You may be bound to give notice by an employment contract, a union agreement, or a policy that ties something you want to it, such as eligibility for rehire or, where state law allows, the payout of unused PTO. Two weeks remains the professional norm; for senior roles, three or four weeks is common.

When will I get my final paycheck, and will unused PTO be paid out?

It depends on your state. No federal law requires immediate payment, and some states require the final pay only by the next regular payday. California requires it on your last day if you gave at least 72 hours’ notice, and within 72 hours if you did not (Labor Code § 202), with a penalty of up to 30 days’ wages if the employer willfully pays it late (§ 203). California, Colorado, Massachusetts and Nebraska, among others, require earned vacation to be paid out at separation; in many other states it depends on your employer’s written policy. Check your state labor department’s website and your handbook.

Can my employer make my resignation effective immediately?

Yes. In at-will employment the employer may end the employment before your last day, and it generally does not have to pay for the notice period unless a contract or policy says otherwise — though it must pay all wages earned up to the day you stop working, on your state’s schedule. In many states, an employer that ends the job before the notice date without paying through it may be treated as having discharged the employee, which can affect unemployment benefits for the remaining days — the rules vary, so ask your state’s unemployment agency.

What happens to my health insurance when I resign?

Employer coverage usually ends on your last day or at the end of that month. If your employer has 20 or more employees, the federal COBRA law lets you keep the group health plan, generally for up to 18 months, at up to 102% of the full premium; you have at least 60 days to elect it after receiving the election notice. Many states have similar “mini-COBRA” laws for smaller employers. Losing job-based coverage also opens a special enrollment period of 60 days on the Health Insurance Marketplace, which may cost less.
